PTA Board Position Descriptions
President – presides at all meetings of the PTA and PTA Board; performs such other duties
assigned to him/her by the PTA or the Executive Committee; coordinated the work of the officers and committees of the PTA
to promote the objectives of the PTA
1st Vice President – acts as an aide to the president and performs the duties
of the President in his/her absence. In addition, serves as the Chairman of Cultural Arts which includes working with the
Chairman of the Reflections Program, The After-School Enrichment Program, In-School Assemblies, Grade Level Programs and Science
Week.
2nd Vice President
– acts as an aide to the President and performs the duties of the President in the absence of the President and 1st
Vice President. In addition, he/she serves as the Chairman of the Ways and Means Committee. This includes working with the
Chairman of the Socials Committee, Fundraisers, Dolphin Nights Out, Spirit Wear, Book Fairs and any additional Special Event
Activities.
3rd Vice President
– acts as an aide to the President and performs the duties of the President in the absence of the President and 1st
and 2nd Vice Presidents. In addition, he/she serves as the coordinator of the Room Parents and works with the Teacher
Appreciation Coordinator.
4th Vice President
– acts as an aide to the President and performs the duties of the President in the absence of the President, 1st,
2nd and 3rd Vice Presidents. In addition, he/she serves as the PTA Membership Chairman, which is responsible
for the PTA membership drive at the beginning of the school year and at various times throughout the year.
Treasurer – Receives
the cash receipts of the PTA, keeps accurate records of receipts and expenditures, and disperses funds as authorized by the
PTA and the approved budget. The Treasurer presents a statement of account at every meeting of the PTA
and at other times when requested by the PTa Board and makes a full report at the annual meeting.
Recording Secretary –
Keeps a record of all meetings of the PTA and PTA board and performs such other duties as may be delegated to him/her.
County Council Delegate and Alternate
– Act as liaisons between the Henrico County Council and the PTA. Periodic reports to the PTA are
required.
Lay Advisor and Alternate
– Offers a bridge of two-way communication between you and the higher officials in your school system. The
advisors meet on a regular basis with the Superintendent and his staff along with members of the School board and make periodic
reports to the PTA. It provides a forum for orderly and constructive discussion of problems and for the
exchange of accurate information.
Parliamentarian –
Advises the President and other officers on matters of parliamentary procedure. His/her role is purely
an advisory one.
Hospitality Committee –
plans and organizes many of the social activities for the faculty and staff, including a Back-to-School Breakfast and a Winter
Holiday Social. The committee also plans ways to express thanks to the teachers and the staff by providing goodies and small
gifts on holidays and other special days throughout the school year.
Newsletter – The Dolphin Echoes, the Jackson Davis PTA Newsletter, is
a monthly update of PTA information, SCA information, classroom news, enrichment activities, and general information valuable
both to the students and the parents of Jackson Davis. We welcome contributions by all members of the Jackson
Davis family. Deadline dates are published in this handbook. All items submitted must
include a name and phone number.
Corresponding Secretary (PTA Directory)
– collects information and produces the Jackson Davis School Directory.
Legislative Committee –
The Virginia PTA is a very active, vital lobby in the General Assembly. The input and vote of the representatives of the local
PTA's determine the position taken by the PTA. Our Legislative Committee Chairman will watch the issues before the State
PTA and keep you informed of resolutions being considered.
Parent Education –
The purpose of the Parent Education Chairman is to keep parents updated and informed by sharing information on a variety of
topics that help parents. This is done through the Jackson Davis PTA Newsletter, The PTA Information Bulletin Board and Informational
Flyers sent home. Programs may also be scheduled throughout the year.
School Volunteers Chairman
– contacts, recruits and schedules volunteers, as needed, for PTA activities, at the request of Committee Chairman.
Cafeteria Monitor Coordinator
– recruits and schedules volunteers to help and assist the children in the cafeteria during lunchtime. This also includes
monitoring the PTA Birthday Celebration in the cafeteria for the students.
Yearbook Chairman –
plans and organizes all areas of the School Yearbook. This includes collecting photographs, lay out, planning and designing
of the yearbook. The chairman also sends out order forms, records and verifies payments received and delivers the yearbooks
near the end of the school year.
School Photographer – will take pictures at special events at
Jackson Davis throughout the year. He/she will also take group pictures for the yearbook and work with the Yearbook Chairman
throughout the school year.
